SharePoint

Upper deck, free sun loungers

Sharing files takes no VM, no VLAN and no e-mail: create the site and make yourself at home. No machine to switch off at night, and nobody will bill you for the deckchair.

Vecteezy

Sharing documents, tracking things in a list, opening a workspace for an engagement: no lab needed. Any employee can create a site, a list, a document library or a page in SharePoint, with no cost, no request and no e-mail.

Open Qim info SharePoint →Create sites, lists and libraries, self-service.
Object Typical use cases Cost

Same mechanics as for Entra ID.

A neglected lab disappears. A neglected SharePoint site piles up, along with its content and its sharing links.

Create sites, lists and libraries freely

My responsibility

Any employee can create a SharePoint site, list, document library or page: no cost, no lab quota, no prior request. No e-mail and no lab needed. What you create, however, remains your responsibility, ownership included.

Not blockingInternal practice

Archive or delete when done

My responsibility

A site or list created for a one-off need must be archived or deleted once that need is over. As with Entra ID, and unlike a lab, nothing makes them expire: an abandoned site keeps its content and its sharing links forever.

MandatoryInternal practice

Check who has access before uploading

My responsibility

Sharing is the main source of exposure: check the site permissions and avoid organisation-wide links for content that does not concern everyone. A sharing link outlives the need that created it.

MandatoryInternal practice

Identifiable naming

Recommendation

A site or list name should state its purpose and make its owner easy to find. An anonymous site becomes an orphaned space that nobody dares to archive.

Not blockingInternal practice

Creating objects is open; anything that touches the tenant is not. Go through lab@qiminfo.ch for:

  • enabling or changing external sharing
  • retention policies and regulatory archiving
  • creating a hub site or associating with an existing hub
  • assigning a SharePoint admin role
  • anything involving client, personal or sensitive data

Tenant settings reserved for administrators

Handled by administrators

External sharing policies, retention, hub sites, custom scripts and SharePoint admin roles are managed by administrators: they are outside self-service.

MandatoryInternal practice
  1. Open Qim info SharePoint.

  2. Create your site or list with a recognizable name: its purpose and, for a temporary space, your trigram (for example mission-qro-migration-crm).

  3. Check permissions before uploading anything: owner, members, links sent.

  4. Write down the archiving date. No reminder will reach you.

  5. Once the need is over, archive or delete the space.

A need that involves resources (VM, AKS, database, network) is a lab: create my lab. A need for an identity belongs in Entra ID.

The labs governance charters live on another SharePoint space: Governance SharePoint site.
